Voyage P&L in real time: moving beyond the spreadsheet
Why shipping companies are replacing month-end voyage reconciliations with live profitability dashboards, and what it takes to get there.
Ask a commercial manager how a voyage is performing and the honest answer is often "we'll know at month-end". Freight, bunkers, port costs, commissions and off-hire sit in different systems and reach finance at different times. By the time the spreadsheet reconciles, the next fixture has already been agreed.
What real-time voyage P&L looks like
A live view brings the estimate, the actuals and the forecast to completion together in one place, for every voyage in the fleet:
- Revenue: freight, demurrage and other income as it is invoiced
- Voyage costs: bunkers consumed, port and canal dues, agency fees and commissions
- Time: sea days, port days, waiting time and off-hire
- Result: time-charter equivalent (TCE) per day against the pre-fixture estimate
Why it matters
When estimate and actual drift apart, the reasons are usually visible early: slower speeds, longer port stays, fuel prices above budget or a laytime dispute brewing. Seeing the variance while the voyage is still under way gives operators time to act, and gives chartering teams better data for the next estimate.
The best-performing fleets don't have more data than everyone else. They look at it sooner.
Getting there without a big IT project
Most ship managers and operators already have the building blocks: a voyage or chartering system, noon reports, an accounting platform and bunker invoices. A cloud data warehouse can bring these together and refresh them daily, with Power BI dashboards on top.
The key is to start with a small set of trusted measures, typically TCE, voyage result versus estimate and bunker cost per day, and then expand into fleet performance, OPEX and emissions once the foundations are in place.
Our Shipping & Logistics Analytics follows exactly this path, so commercial, operations and finance teams share one view of every voyage.
